BID DOCUMENT DISTRIBUTION SERVICES

BidDocs ONLINE (BDO) saves you time and money by publishing your bid documents electronically and managing the hard copy distribution. With a one-time project posting fee, BDO uploads your bid document information (pdf format) from a hard copy provided by you or the designer. Once the bid information is uploaded, BDO electronically forwards a confirmation form to you to ensure that the information is accurately published. Upon receipt of your confirmation, the project is immediately posted either as a public or by invitation project. Subsequent to the initial publishing and at no additional cost, the Project Listing can be easily updated for issuance of addenda, plan holder list and bid results.

If posted as a Public Listing, the information will be readily available for viewing online and BDO will manage the hard copy distribution. BDO will maintain a current (real-time) list of plan holders, distribute the hard copy documents, collect and return refundable plan deposits, post and mail addenda, post and mail sub-bid results and post the general bid results.

With a click, you and the bidders can easily view drawings, specifications, addenda and bid result information at your convenience. You and the bidders may also download the documents wanted (pdf format) or may request a hard copy of the documents and have the bid set delivered via ground or overnight mail. There are no membership fees or passwords required for use of these basic services.

By Invitation - Whether a public client that requires bidders to be "pre-qualified" or a private client that has "pre-selected" bidders, BDO understanding that projects "by invitation" are more limited in distribution. As the Client, you control which bidders see the bid documents by using an automatic email link and/or password. The selected contractors can then view the bid documents electronically and/or request a hard copy. In turn, these contractors can then easily distribute the documents to their subcontractors for bid proposals.

BDO also provides you with substantial savings on reproduction costs. Using our collective purchasing power, BDO can provide you with savings of up to 50% on typical reproduction costs for the drawings and specifications - whether you order one set or hundreds of sets. Likewise, BDO allows you to choose the method of document distribution to save money. For example, you may elect to simply post the project electronically and require the bidders to print or purchase the hard copy of the documents. On the other hand, you may elect to allow the bidders to request the hard copy documents for a refundable deposit. You only pay for the hard copies distributed. In either case, BDO manages the distribution and payments for the Owner as part of the one-time project posting fee.

Finally, BDO supports the project effort subsequent to receipt of the general bids. For a two-week period after the general bid date, we maintain your project information on the "Bid Result Listing". This allows you and the successful bidder to request additional copies and to share the information with other interested parties prior to the start of construction.

In short, BDO is the Client's single source for the managing the bid document distribution effort. For a single posting fee, BDO uploads your project, posts the information electronically and reproduces & distributes the hard copies.

Once the Project Information page appears, scroll down and click on the icons to view the drawings, specifications, advertisement, current plan holder list, addenda, sub-bid results or general bid results. The information can be viewed, saved or printed through Adobe Acrobat®. Likewise, you may click on the icon to "request a hard copy" and view how easy it is to request a hard copy of the documents from your computer.
